Behind the Scenes: A Day in the Life of Ocular Lounge Event Staff
At Zeitz MOCAA’s Ocular Lounge, we take pride in creating memorable and flawless events. Behind every successful event is a dedicated team working tirelessly to ensure that everything runs smoothly. Today, we’d like to give you a behind-the-scenes look at the daily routine of our Ocular Lounge event staff, featuring insights from Joshua Mutshimu, our Food & Beverage Manager, and Sandy Madani & Monique Ariefdien, our Project Managers.
Joshua Mutshimu: Food & Beverage Manager
Joshua starts his day by meticulously inspecting the venue, checking for any issues or damages that may need immediate attention. He ensures that security is stationed at the delivery entrance to facilitate smooth service provider access. To streamline the process, Joshua coordinates with the elevator team to put it on reserve mode for load-in.
One of Joshua’s key responsibilities is to coordinate deliveries to avoid congestion, ensuring that each service provider has their allocated time slot. He also takes the time to explain the building’s rules and regulations to all involved parties and introduces himself to everyone present.
Throughout the setup process, Joshua supervises to ensure it aligns with the agreed-upon plan. He pays close attention to the table layout, ensuring there’s enough space for both service and guests. Joshua also inspects the table settings, checking that glassware and crockery are correctly placed and spotlessly clean.
Once setup is complete, Joshua oversees the clean-up process, making sure the venue is free of unused items, and the floors are spotless. He then conducts a final walk-through to ensure everything is in order before guests arrive. Staff briefings follow, ensuring all team members are aligned with the event’s requirements. Finally, Joshua briefs the chef on the event’s running order and oversees both drinks and food service throughout the event.
Sandy Madani & Monique Ariefdien: Project Managers
Their day begin with a commitment to address the team’s inquiries promptly. They conduct an early morning meeting with the team, where they discuss priorities and brainstorm solutions for potential challenges. Sandy & Monique’s focus is on gathering essential information, clarifying who does what, where, and when, and identifying the resources needed to achieve their goals.
Their daily responsibilities involve managing a diverse array of tasks, including updates on recently completed jobs, the current slate of projects, new client outreach, and future booked events. In the dynamic world of event planning, change is the only constant, and Sandy is always ready to adapt. Both of them often make adjustments to event schedules, accounting for changes and progress made throughout the day.
During event days, Sandy & Monique shift their attention to support the on-ground team and the client. The goal is to provide assistance and ensure responsibilities are delegated effectively. While they are readily available to help, they also value empowering their team to take ownership of their specialised roles.
Even during events, Sandy & Monique continue to carry out their broader responsibilities within the business. Their dedication to providing seamless event experiences is a testament to the commitment of the Ocular Lounge team to deliver excellence.
